What SWIMS actually is

Parents say SWIMS. USA Swimming’s Times page means the official times database. The acronym is Swimming Web-based Interactive Membership System — membership and times tied together since 2003. SWIMS 3.0 is what clubs and LSCs log into. The public face, checked 17 August 2026, is Data Hub at data.usaswimming.org: athlete times, event rankings, meet results. Older times.usaswimming.org bookmarks may redirect. Layouts move — trust the form, and the Times help on usaswimming.org/times.

USA Swimming’s copy is blunt: it collects every time swum in a sanctioned meet so you don’t have to. That is the job. It is not a live scoreboard. First club Saturday: your child’s first USA Swimming meet. This page is the database after the whistle. I built Finzy as a parent log, not a SWIMS client. We do not pull from the national list. England’s public cousin is British Rankings; the objects here are sanction, LSC, and a SWIMS ID.

Three clocks: Meet Mobile, SWIMS, and the log you own

Saturday produces three different objects. Mixing them is how a parent ends up refreshing a filing cabinet at 9 p.m.

A time can be right on the scoreboard, wrong on the phone, and absent from SWIMS for a week. Three systems, not one broken one. Personal best versus official versus converted: PB vs official vs converted.

The stamp: sanctioned, approved, or observed

USA Swimming’s Times & Recognition Policy Manual (updated 14 April 2022 — still the document linked from the Times page in 2026) splits eligible meets into three stamps. I am not inventing a fourth. Rules move; believe this year’s announcement and your LSC.

  • ✓Sanctioned. A USA Swimming club meet run under USA Swimming rules. Athletes, coaches, and officials are members. Official times are recognized and supposed to load into SWIMS.
  • ✓Approved. Often a YMCA, AAU, or other closed/open competition run under USA Swimming technical rules without requiring every athlete to be a USA Swimming member. Times of members are eligible if the LSC issued the approval.
  • ✓Observed. A meet run under someone else’s rules — typically high school (NFHS), Masters, or IPC — that the LSC authorized for observation at least ten days ahead. Only members’ conforming swims are eligible.

No stamp, no SWIMS row. An unsanctioned intra-squad, a time trial the pack never sanctioned, a dual the LSC never observed — real to you, club-recorded, not a USA Swimming official time. Check the sanction or observation number on the meet announcement before you decide the database lost the race.

How the file actually reaches SWIMS

The host does not email Colorado Springs. USA Swimming’s Times FAQ (checked 17 August 2026): times go into SWIMS through the LSC Times volunteers. Hosts submit; those volunteers process. The national office does not process any times data into SWIMS from LSC-hosted competitions. Missing or wrong: the coach contacts the LSC times volunteer. Allow up to 10 days. Each LSC has its own system. I am not inventing a Tuesday SLA.

SWIMS 3.0 changed the hose, not the owner. USA Swimming’s LSC FAQ says clubs and coaches can upload results so files hit faster — delays were the complaint. Two limits sit in the same answer: LSC Admins are still the only ones who can edit, and a club can only upload a meet the LSC Times Admin has already created and approved. Some LSCs still collect a .cl2 from Meet Manager and load it themselves. Believe your LSC times chair.

A sanctioned Saturday can still fail to attach. The results file needs a USA Swimming ID, or a full legal name and birth date the membership record can match. A nickname on the heat sheet, a transposed digit, an 18-and-over athlete without current Athlete Protection Training — the policy manual says those times can be invalidated and not loaded. The coach has the ID the LSC needs. Parents do not email the national Times inbox for an LSC invitational.

Observed high school is a different stamp

Club Saturday and school Tuesday are parallel universes. High school is NFHS rules, school colors, dual meets. Those clocks land in SWIMS only if the LSC observed the meet — a path for high-schoolers who cannot race LSC-sanctioned meets during their association season. Observation is not automatic.

Request at least ten days ahead. Form A is invitationals; Form B is the championship progression. Dual, double-dual, and intra-squad high-school meets are not observed — that sentence is in the manual. A midweek dual is almost certainly a school time only. Championship-progression and some invitationals of four or more teams can be observed if the LSC says so. Loaded individual times typically enter as LSC UN. Relays can attach to a USA Swimming club only if all four swimmers represented the same club and someone requested the manual entry — and some state associations forbid club affiliation during the high-school season. The policy aims for entry within two weeks. I am not listing which championships your LSC observes. Ask the club coach, then the LSC NTV / times officer.

What never lands in SWIMS

USA Swimming is explicit about several holes. Parents treat them as “the site is broken.” They are not.

  1. Open water is not in the SWIMS times database.
  2. 25-yard events are not recognized for public viewing. An 8&Under 25 free can be a real Saturday and still never appear on Data Hub.
  3. Converted times are maths, not a second official swim. SWIMS stores the course raced — SCY, SCM, or LCM. See short course vs long course.
  4. Intermediate splits — the 1000 inside a 1650, a 100 fly from a 400 IM — are not automatically loaded. The athlete or coach asks the LSC Times Officer. Do not assume a Meet Mobile split is a SWIMS row.
  5. Unobserved duals, unsanctioned intra-squads, DQs, NT. A No Time seed does not invent an official row.
Do not chase SWIMS for this

Meet Mobile going quiet is not a SWIMS failure. A high-school dual is not a SWIMS failure. A 25 fly is not a SWIMS failure. Log the swim. If it was sanctioned and still missing after the LSC window, the coach emails the times volunteer — not a parent ticket to the national office.

How a parent actually looks someone up

This is the live public surface on 17 August 2026. SWIMS 3.0 renamed doors. Data Hub is the current name.

  • ✓Open usaswimming.org/times, then Data Hub — or go straight to data.usaswimming.org.
  • ✓Use Athlete & Meet Search. USA Swimming still describes the job as Times Search: all of your times, best times, or event ranks. Some SWIMS 3.0 docs still say Individual Times Search. Same job, moving label.
  • ✓Enter the USA Swimming ID (SWIMS ID) before a family name. Smith in a 2,000-athlete LSC is a long list.
  • ✓Check course. A yards 100 free will not appear as a long-course 100. Winter club racing is usually SCY — write the course on the time.
  • ✓Event rankings / top times are a different door: one event, a filter, a list. That is a ranking, not a child’s diary.

Keep the membership card or the ID in your phone. If they went in as NT, today’s official clock is personal-best number one in that event and course — once it exists. Write it whether Data Hub has caught up or not.

If Saturday is still missing

Walk this list before anyone emails the LSC: too soon (about 10 days; two weeks if observed high school); wrong course or a 25 that will never show; no stamp; a match failure on ID, legal name, or date of birth. After the window, the coach contacts the LSC times volunteer with sanction number, USA Swimming ID, event, and date. USA Swimming publishes an LSC Times Officers list on the Times resources page. Parents do not open a national ticket for a local invitational. LSCs change procedures — this year’s times chair wins. Check the LSC website and the Times help. Do not treat this article as a bylaw.

SWIMS is not the B / BB / A ladder

USA Swimming publishes national motivational time standards — B, BB, A, AA, AAA, AAAA. Those letters are a report card, not SWIMS. SWIMS stores the clock; the letters overlay it. A swim can sit in SWIMS without “having a B.” Championship cuts are often that LSC’s list, not the national letters. I am not printing cuts. The ladder: USA Swimming time standards.

SWIMS is a filing cabinet, not the log you own

SWIMS is a filter of eligible, matched, uploaded official times. Duals never enter. 25s never show. Mismatched IDs sit unattached or vanish. Even when a sanctioned B/C is supposed to upload, the national database is still not the archive you open in March — that is never lose a PB. I built Finzy so a family can keep personal bests by event and course. We do not import from SWIMS. You type the swim.

SWIMS is the filing cabinet of official USA Swimming times. Meet Mobile is a preview. The log you type is the one you still own in March.
