Why people move
A club change is usually one of four jobs wearing the same sentence. The squad no longer fits — too hard, too easy, the wrong age-group lane. The drive has become the week. The coach relationship has gone quiet, or the coach left and the programme changed under the same name. Or the child said they want to stop, and a different club is the compromise you are testing instead of a bag in the loft.
Those are different parent jobs. Squad and travel are logistics. A coach conversation is a booking. A quit-adjacent week is when they want to quit swimming — do not use a transfer form to avoid that talk. Clubs are not villains for wanting members. Families are not villains for moving house or needing a pool they can reach on a Tuesday. Write one line you would say to both coaches. Gossip in the parent chat is not a transfer plan.
Talk to both coaches
The leaving coach still has the child in the water. Tell them you are going, with a date, before the new hat appears on deck. You are not asking permission. You are closing a season they coached. Ask what they would tell the next coach: events, course, a load that still fits school. Write it down.
The new coach needs a start date, the membership number, and times they can enter — not a speech about why the last club “wasn’t serious.” If the child wants to be in the room, that is their sport. Do not recruit through the old WhatsApp. Do not turn the last session into a car-park referendum. Two quiet emails, two dates, one list of times.
One line to the leaving coach: last session, thanks, and whether they will share a short note with the new coach. One line to the new coach: start date, NGB number, and times by event and course. Then stop talking about the other club.
Fees already paid
Club fees, national membership, and meet entries are three invoices. A year already paid to the old club does not always come back. Read the constitution and ask the treasurer. Some clubs pro-rate. Some do not. Kit and club property can hold a transfer until they come back. That is a clause, not a morality play.
National fees are often charged once per membership year even if the club name changes. Swim England’s member FAQs (checked 17 August 2026) say fees are only charged once in one membership year if you join a new club after leaving another, and only once no matter how many clubs they belong to. Region, county, and club fees sit on top. Canada’s 2025–26 manual: the Swimming Canada fee is not charged twice on a transfer to another provincial section; the new province’s own fees still apply. Do not assume a refund from someone else’s invoice.
If money is outstanding, say so early. Swim Ireland can withhold a transfer where fees are owed, property is held, or a complaint is pending. Swimming Canada lets a releasing club take up to 90 days on outstanding commitments, after which the provincial section approves; the releasing club may not charge a transfer or release fee. USA Swimming 203.6: a court judgment for unpaid club dues can block representing any member club until it is paid. Settle the account. Then file the form.
The log and the PBs must travel
The new club only has what you can still quote. Rankings, SWIMS, and Swim Central hold official licensed times under the athlete. They are not a family archive, they are slow on a Monday, and they miss club-night clocks you still use as seeds. The old Team Manager’s Hy-Tek file is not yours.
Before the last session, put the times in a list you own: event, course, time to the hundredth, date, meet. That is never lose a PB. Who types and who looks does not change because the hat changed — share one log. “It was in the old WhatsApp” is how you enter NT in events you have already raced.
The times belong to the athlete. The chat belongs to the club you are leaving. Copy the clocks first.
Do not leave the old chat until the times are in a list you own
Leave the social life when you are ready. Leave the archive never, if the archive was only ever the chat. Search is useless when every photo is a wet scoreboard. Copy what you still need. Then leave. You do not owe a resignation essay, and you do not need to stay for “just the results.” Official results live on the NGB site. Your list is the drawer you can still open in March.
Do not delete the old chat on the drive home. Do not screenshot three PBs and call it a history. Do not ask the new Team Manager to “pull everything from Rankings” the night before entries close. Do not post the leaving announcement before both coaches have had the email.
USA unattached vs UK and Ireland transfer forms
The paperwork is local. Start it when you decide, not the week of the first meet in a new hat. Live NGB pages as checked on 17 August 2026. Waiting-period days move. A 2019 PDF in a club drive is not this season.
USA Swimming — 60 days unattached
USA Swimming’s 2026 Rules & Regulations, Article 203.3: for a swimmer to represent a USA Swimming club in a competitive event, sixty (60) consecutive days must have elapsed before they may represent any other USA Swimming club in USA Swimming open competition. The count begins on the day following the last date they represented a club in open competition. Article 203.7: an unattached competitor represents no club. Relays shall not compete unattached. Individual events may still be swum as UN, with the LSC code.
File the transfer when you decide at hub.usaswimming.org (Club Transfer). Do not wait out the sixty days first — the attach date is calculated from last representation. The live book is on USA Swimming Rules & Policies. School-season releases are a different clause (203.4).
Swim England — OMS, Club Compete, ranked club
England is not a 60-day unattached country on the membership FAQs. Swim England’s club membership process FAQs and member FAQs (both checked 17 August 2026) describe the Online Membership System, not a countdown. The old club can lapse a leaver; the new club registers them on OMS. Dual membership is allowed; they cannot compete for more than one club in a single competition or series. Club Compete is the competition category for licensed opens — a category change is not the same switch as changing which club they train with. Ranked club is the member’s own login at swimmingmembers.org. That name prints on British Rankings. It is not the time.
Swim Ireland — transfer request, seven days, relays
Swim Ireland’s transfer page (checked 17 August 2026): request a transfer if they have had an active membership within the previous 24 months, except where the original club does not re-affiliate or is dissolved. Contact the club secretary, copy the Regional Support Officer. Clubs complete the request within 7 days unless fees, property, or a pending complaint sit in the way. Transfers are automatically in force within 7 clear days of confirmed receipt by the Swim Ireland Membership Administrator. For relay events, they may not compete for the new club within three calendar months of the transfer completing. After 24 months away, no transfer — give the existing Swim Ireland ID to the new club. First claim: they may belong to more than one club, but open competition is for the club they first registered with unless they transfer.
Swimming Canada — receiving club starts it
The family does not click transfer. Swimming Canada’s 2025–26 National Registration Procedures and Rules Manual (5 September 2025; still the live file on swimming.ca/registration on 17 August 2026) says ask the new club’s registrar to start it in REMS. First transfer in a season, once the releasing club and provincial section approve: they may represent the new club. Registering with a new club at the start of a season is not counted as that first transfer. Second and later transfers in the same season (1 September–31 August) carry a 60-day unattached status: registered, but they may not score points or swim a relay, and they enter as unattached-province (UNON, UNBC, and so on).
Australia — Swim Central primary club
Swimming Australia’s Swim Central support (checked 17 August 2026): members can transfer during the season. They cannot if the membership is 30 days from expiring, has expired, expires today, a refund has been requested, or it is a trial type or second claim. State how-tos such as Swimming NSW’s transfer guide say purchase the new club product first, use Transfer on the old membership, then Make Primary. Common national and state fee components may refund within about 10 days when both products are the same season. There is no USA-style 60-day unattached number on that national support page. I am not inventing one.
Ranked club is not whether the time exists
On British Rankings the club name on the row is a label. Swim England’s own FAQ: swimmers in more than one club select one club for ranking purposes — that name appears on the lists. Ranked club has no bearing on which club you pay the Swim England fee to. Changing it does not mint a time. Leaving it on the old club does not delete a time. That is already on why isn’t the time on British Rankings: ranked club is an OMS setting, not whether the time exists.
Same idea wherever results print a club code. USA unattached prints UN, then the new code after the attach date. Swim Central prints the primary membership. A new hat does not rewrite last winter’s 100 free. If the new club’s results still show the old code, that is a membership job, not a missing PB.
Club Compete, first claim, primary club, attached, unattached — those words decide who they race for next month. They do not decide whether last year’s official clock still happened. Keep the list.
